1. Who we are
This website and the services described on it are provided by Ivanova IT, SIA, a limited liability company registered in the Republic of Latvia under registration number 40203794327 ("Ivanova IT", "we", "us").
We are the controller of the personal data described in this policy. You can reach us at hello@ivanova-it.lv or by phone at +371 20 000 000.
2. Data we collect
Data you give us
- Enquiries: your name, email address, company or website, the service you're interested in, your budget range and the message you write, when you use the contact form or email us.
- Client projects: names and contact details of your team members, billing details, and any content, files or access credentials you share with us to deliver the project.
- Calls and meetings: notes we take during calls about your project.
Data collected automatically
- Server logs: your IP address, browser type, requested pages and the time of the request. Our hosting provider records these to keep the site secure and working.
- Browser storage: a small entry that remembers you closed the cookie notice. See our Cookies Policy for details.
We don't use advertising trackers on this website, and we don't build profiles of visitors.
3. Why we use your data
| Purpose | Data | Legal basis (GDPR) |
|---|---|---|
| Replying to your enquiry and preparing a quote | Enquiry data | Steps at your request before entering a contract, Art. 6(1)(b) |
| Delivering a project and supporting you after launch | Client project data | Performance of a contract, Art. 6(1)(b) |
| Invoicing, accounting and tax reporting | Name, company, billing details | Legal obligation, Art. 6(1)(c) |
| Keeping the website secure and preventing abuse | Server logs | Legitimate interest, Art. 6(1)(f) |
| Sending occasional updates, only if you asked for them | Name, email | Consent, Art. 6(1)(a) |
Where we rely on consent, you can withdraw it at any time by emailing us. This doesn't affect anything we did before you withdrew it.
4. How long we keep it
- Enquiries that don't lead to a project: up to 12 months after our last contact, then deleted.
- Project correspondence and files: for the duration of the project and our support period, and afterwards only as long as needed to handle possible claims.
- Invoices and accounting records: for the period required by Latvian accounting and tax law.
- Server logs: for a short period, normally no longer than 30 days, unless we need them to investigate a security incident.
5. Who we share it with
We never sell personal data. We share it only with service providers who help us run our business, and only as much as they need:
- website hosting and email providers;
- accounting and bookkeeping services;
- payment providers, when you pay an invoice online;
- Google, which serves the fonts used on this website. When a page loads, your browser requests the fonts from Google's servers, which means Google receives your IP address.
These providers act as our processors under written data processing agreements, or as independent controllers under their own privacy policies. We may also disclose data if the law requires it, for example to a court or a public authority.
6. Transfers outside the EEA
Some providers may process data outside the European Economic Area. When that happens, we make sure the transfer is protected by an adequacy decision of the European Commission (such as the EU-U.S. Data Privacy Framework) or by Standard Contractual Clauses approved by the Commission.
7. Your rights
Under the GDPR you have the right to:
- access the personal data we hold about you and get a copy;
- have inaccurate data corrected;
- have your data deleted when we no longer need it or have no legal basis to keep it;
- restrict how we use your data in certain situations;
- receive the data you gave us in a machine-readable format and have it sent to another company;
- object to processing based on our legitimate interests;
- withdraw your consent at any time, where we rely on consent.
To use any of these rights, email hello@ivanova-it.lv. We reply within one month. We may ask you to confirm your identity before we act on the request.
You can also lodge a complaint with the Latvian supervisory authority, the Data State Inspectorate (Datu valsts inspekcija), at www.dvi.gov.lv, or with the authority in the EU country where you live or work.
8. Security
We use appropriate technical and organisational measures to protect personal data, including encrypted connections (HTTPS), access limited to the people who need it, and regular backups. Access credentials you share for a project are used only for that project and removed from our systems when it ends.
9. Children
Our website and services are meant for businesses and adults. We don't knowingly collect data from children under 16.
10. Changes to this policy
We may update this policy when our services or the law change. The date at the top of the page shows when it was last updated. If the changes are significant, we'll let our clients know by email.
